Vexim Biocare Refund & Cancellation Policy

This Refund & Cancellation Policy (“Policy”) governs all:

• subscriptions,
• onboarding fees,
• platform charges,
• service fees,
• AMC charges,
• communication charges,
• cloud charges,
• advertisement charges,
• delivery charges,
• promotional fees,
• and operational payments

made within the Vexim Biocare ecosystem.

By using Vexim Biocare services, the User, Partner, franchisee, vendor, customer, delivery partner, or operational participant (“User”) agrees to this Policy.

All payments made to Vexim Biocare are generally:

• non-refundable,
• non-transferable,
• non-adjustable

unless expressly approved by Vexim Biocare in writing or required under applicable law.

Partner onboarding fees, activation charges, setup charges, registration charges, franchise onboarding fees, or platform joining fees are:

• non-refundable,
• non-cancellable,
• and non-transferable

once:

• onboarding is initiated,
• account creation begins,
• platform access is provided,
• training is started,
• credentials are generated,
• or operational resources are allocated.

Subscription fees including:

• software subscription charges,
• AMC charges,
• cloud charges,
• platform access charges,
• premium feature charges,
• communication charges,
• delivery module charges,
• advertisement charges,
• or operational service charges

shall ordinarily remain non-refundable after activation.

Any:

• discounted pricing,
• launch offer pricing,
• founder pricing,
• early adopter pricing,
• limited-time promotional pricing,
• or campaign pricing

shall remain:

• temporary,
• revocable,
• non-permanent,
• and subject to future revision.

Refunds shall not be granted due to future pricing changes.

Advertisement fees, sponsored listing charges, promotional contributions, marketing recovery charges, campaign fees, featured listing charges, and branding charges are:

• non-refundable,
• non-cancellable,
• and non-reversible

once campaigns, visibility allocation, or promotional processing has commenced.

Charges relating to:

• WhatsApp communication,
• SMS services,
• OTP delivery,
• notification systems,
• email systems,
• communication APIs,
• or operational messaging infrastructure

may be:

• usage-based,
• prepaid,
• postpaid,
• or operationally deducted.

Such charges may not be refundable once communication services are utilized.

Cloud storage fees, infrastructure usage charges, API charges, server usage charges, backup charges, or operational infrastructure fees may be charged separately and are ordinarily non-refundable after resource allocation or consumption.

Delivery charges may vary based on:

• distance,
• operational category,
• partner settings,
• delivery allocation,
• third-party logistics,
• surge pricing,
• or ecosystem conditions.

Delivery charges once incurred or allocated may remain non-refundable.

In cases of:

• duplicate payment,
• failed payment processing,
• technical transaction failure,
• gateway reversal,
• or payment processing error,

Vexim Biocare may investigate and determine refund eligibility at its discretion.

Refund processing timelines may vary depending upon:

• banks,
• payment gateways,
• financial institutions,
• or third-party providers.

Payment gateway fees, banking charges, processing fees, convenience fees, settlement charges, or third-party financial charges may remain non-refundable even if refunds are approved.

Vexim Biocare reserves sole discretion to:

• approve,

• partially approve,
• hold,
• reverse,
• adjust,
• investigate,
• or delay

refund requests based on:

• operational review,
• fraud risk,

Refund requests involving:

Users shall not initiate unjustified:

• chargebacks,

• pursue recovery actions,
• or initiate legal remedies.

Vexim Biocare reserves unrestricted rights to:

• discontinue,
• or deactivate

accounts, subscriptions, operational access, services, integrations, or ecosystem participation due to:

• policy violations,
• compliance risks,
• operational issues,
• fraud concerns,
• inactivity,
• payment defaults,
• or governance requirements.

Refunds may not apply in such cases.

Users may request cancellation of:

• subscriptions,
• communication services,
• promotional services,
• or operational services

subject to:

• active billing cycles,
• outstanding dues,
• operational commitments,
• usage charges,
• and applicable deductions.

Subscriptions, AMC plans, cloud services, communication services, premium services, or operational modules may automatically renew unless cancelled before renewal timelines.

Renewal payments once processed may ordinarily remain non-refundable.

Vexim Biocare reserves unrestricted rights to:

• revise pricing,
• introduce new charges,
• restructure billing,
• modify plans,
• add usage-based pricing,
• revise AMC structures,
• or monetize future services

without creating refund obligations for prior payments.

Vexim Biocare shall not be liable for refund delays, settlement issues, reversals, processing failures, or financial interruptions caused by:

• banks,
• payment gateways,
• telecom providers,
• cloud vendors,
• communication providers,
• logistics providers,
• or third-party systems.

Applicable:

• GST,
• VAT,
• service tax,
• withholding tax,
• or regulatory charges

may be deducted, retained, adjusted, or governed in accordance with applicable financial regulations.

Any:

• promotional credits,
• wallet balances,
• bonus credits,
• campaign credits,
• referral rewards,
• or ecosystem incentives

may:

• expire,
• remain non-transferable,
• remain non-withdrawable,
• or be subject to operational restrictions.

Payments made to Vexim Biocare do not guarantee:

• profits,
• customer acquisition,
• business growth,
• advertisement performance,
• operational continuity,
• lead generation,
• or commercial success.

Refund-related requests may require:

• transaction proof,
• payment reference,
• identity verification,
• operational verification,
• compliance review,
• or supporting documentation.

Vexim Biocare reserves rights to define refund review procedures.

Vexim Biocare may deduct:

• platform dues,
• advertisement charges,
• communication charges,
• operational fees,
• penalties,
• compliance deductions,
• gateway charges,
• cloud charges,
• or outstanding liabilities

before processing any eligible refunds.

Vexim Biocare shall not be liable for:

• indirect losses,
• business losses,
• operational interruption,
• customer loss,
• profit loss,
• goodwill loss,
• delayed refunds,
• banking delays,
• or third-party failures.

Vexim Biocare reserves unrestricted rights to:

• modify,
• update,
• revise,
• restructure,
• expand,
• automate,
• or replace

this Policy at any time.

Continued usage constitutes acceptance of revised policies.

This Policy shall be governed by laws applicable to Vexim Biocare’s operational jurisdiction.

Any disputes shall be subject to jurisdiction determined by Vexim Biocare’s registered operational office.

Continued usage of the Vexim Biocare ecosystem constitutes acceptance of this Policy.

If any portion of onboarding, activation, setup, training, cloud allocation, communication provisioning, infrastructure allocation, or operational enablement has commenced, Vexim Biocare may determine proportional or full non-refundability.

Vexim Biocare reserves the right to impose early termination charges, operational closure charges, infrastructure recovery charges, or administrative deductions where subscriptions or operational services are discontinued before committed periods.

Vexim Biocare may temporarily hold settlements, refunds, payouts, credits, or financial reversals where required for:

• fraud review,
• compliance verification,
• dispute investigation,
• operational risk assessment,
• or chargeback management.

Third-party expenses including payment gateway charges, cloud allocation costs, telecom charges, SMS charges, WhatsApp charges, API charges, logistics costs, banking fees, or infrastructure costs may remain non-recoverable and deductible from refunds.

Vexim Biocare may deny refunds where promotional pricing, launch offers, referral programs, discount structures, sponsored campaigns, or ecosystem incentives are abused or manipulated.

Continuation of platform usage beyond subscription periods may constitute consent for applicable renewal billing, AMC charges, communication charges, infrastructure charges, or operational billing structures.

Operational suspension, temporary restriction, compliance review, fraud investigation, policy enforcement, or security-related limitations shall not automatically create refund obligations.

Vexim Biocare reserves unrestricted rights to:

• define billing cycles,
• revise billing structures,
• introduce usage-based billing,
• implement tiered pricing,
• restructure subscriptions,
• or modify commercial models.

Temporary service interruptions, maintenance windows, infrastructure upgrades, communication delays, third-party outages, or operational disruptions shall not automatically qualify for refunds unless expressly approved by Vexim Biocare.

Accounts remaining inactive for prolonged durations may become subject to:

• subscription expiry,
• operational suspension,
• data archival,
• account deactivation,
• or additional restoration charges.

Refund processing timelines may vary depending on:

For international transactions, currency conversion rates, foreign exchange fluctuations, intermediary banking fees, taxation adjustments, or cross-border processing charges may affect refundable amounts.

Vexim Biocare may impose reasonable administrative processing charges, verification charges, operational handling fees, or compliance review fees in relation to refund requests or cancellation processing.

Any refund issued as a goodwill gesture, exception handling, commercial adjustment, or discretionary resolution shall not create precedent, recurring entitlement, or future refund obligation.

Vexim Biocare reserves rights to pursue recovery, legal remedies, operational restrictions, financial recovery actions, or account suspension against fraudulent, abusive, deceptive, or manipulated refund claims.
